ChatGPT Edu Onboarding Guides

Welcome! This page contains instructions for signing up for ChatGPT Edu. You will need to sign up in order to use your new ChatGPT Edu licence. How you will sign up for it depends on what kind of account you have now and whether you want to move your chat history from your current account to the new one. 

To get started, please select the situation that applies to you from the scenarios below then continue to the guides further down the page:

I have an existing ChatGPT account that I created with my Oxford Single Sign On (SSO)

If you created your ChatGPT account using your SSO email (abcd1234@ox.ac.uk), you will receive an invitation directly from OpenAI. This will be sent to your SSO email address ending with @ox.ac.uk. It may land in your junk mail folder. 

If you have paid for this subscription to ChatGPT, you will automatically receive a pro-rated refund on the remainder of your subscription to your credit card (either monthly or annual) when you switch accounts.

To switch to your new Edu account, follow these instructions:

  1. Open the Join workspace link in your invitation which will direct you to a ChatGPT webpage.
  2. Click the Log in button to begin the process.
  3. Choose Oxford Single Sign on as your option
  4. Enter your Single Sign On (SSO) email address in the format abcd1234@ox.ac.uk and press Continue. (Please note that using a department alias such as @it.ox.ac.uk will not work).
  5. You will be directed to the standard University SSO log-in process.
  6. Since you created your ChatGPT account using SSO, you will have an option to migrate your chat history directly over to your new ChatGPT Edu account.
I have an existing ChatGPT account that I created with an email address that is not my SSO

If you have a ChatGPT account with a username that is not your Oxford SSO (such as a private email address or even a departmental email such as firstname.lastname@it.ox.ac.uk), you will not be able to transfer your existing chat history or any preferences to your ChatGPT Edu account. Your ChatGPT Edu account will be a clean blank slate. You will continue being able to access your old account, which will live on independently of you ChatGPT Edu account.

I do not have an existing ChatGPT account

If you do not have an existing ChatGPT account, you will receive an invitation email directly from OpenAI. This will be sent to your SSO email address ending with @ox.ac.uk. It may land in your junk mail folder.

  1. Open the Join workspace link in your invitation which will direct you to a ChatGPT webpage.
  2. You will need to create a new account using your SSO by clicking the Sign Up button to begin the process.
  3. Click on Oxford Single Sign On (SSO)
  4. Enter your Single Sign On (SSO) email address in the format abcd1234@ox.ac.uk and press Continue. (Please note that using a department alias such as @it.ox.ac.uk will not work).
  5. You will see a few onboarding pop ups and then you can start using ChatGPT.
I am from Saïd Business School (SBS)

Users from SBS will not receive an invitation email from OpenAI directly to their UPN address (abcd1234@ox.ac.uk). However, you will be able to login to ChatGPT Edu. To get access to your ChatGPT Edu account, follow these steps:

  1. Go to ChatGPT: ChatGPT
  2. Click Log In.
  3. Enter your SSO email address in the format abcd1234@ox.ac.uk and press Continue. (Please note that using a department alias such as @it.ox.ac.uk will not work).
  4. You will be directed to the standard University SSO log-in process.

Congratulations! You have finished setting up your ChatGPT Edu account!

Getting started using ChatGPT Edu

This tab is for users that have no experience or limited experience with ChatGPT. It covers basic information on the structure of the ChatGPT interface. 

This powerful tool offers revolutionary support for work cases spanning administration, research, education, and beyond. Its chief limitation is user imagination. It is one of the jobs of the AI and Machine Learning Competency Centre to help new and experienced users alike explore these possibilities.

Fundamentally, ChatGPT works by a call-and-response kind of conversational interface. The user sends a request or statement to the AI (called a “prompt”) and then the AI responds to that prompt in a way that resembles a text message conversation.

ChatGPT Chat Interface

The main chat interface has several major parts. The most important is labeled “Message ChatGPT”. This is where you click to type in your message and “talk” to the AI.

The other five elements are labeled below:

  1. Switch which “model” you want to use: Think of the *model* as the particular AI brain that you want to talk to. They range in terms of abilities and intelligence. In the image below, you see the model “ChatGPT 4o” is selected. This is one of the most capable models offered by ChatGPT as of December 2024.
  2. Attach files: You can upload upload directly from your machine or pull them in from OneDrive or Google Drive.
  3. Choose tools: ChatGPT offers a variety of tools that can enhance the conversation with the AI in interesting ways. 
    1. DALL-E is a function that lets you ask the AI for a picture and it will create one for you.
    2. Canvas is a tool that lets you edit text that the AI generates. This is useful if you are drafting content like a letter where you may want the AI to edit specific parts, sentences, or words without rewriting the whole document.
    3. Reasoning is a function that makes use of the ChatGPT “o1” model which allows the AI to think several steps ahead about a problem or request and offer you more detailed and complete answers.
  4. Search is a function that allows ChatGPT to search the internet for information and links.
  5. Start Advanced Voice Mode: This is a mode that allows the user to speak directly to the AI and receive responses via speech. You will know that Advanced Voice Mode is activated because a blue circle will appear on the screen. The transcription of your conversation will be available in the chat after you exit out of this mode.

ChatGPT Extended Interface

Beyond the chat window, ChatGPT offers additional functionality across the platform.

  1. Start New chat. This button allows you to start a new conversation from scratch.
  2. Hide/Open Chat History Sidebar. This button allows you to hide the entire left-hand sidebar to focus exclusively on the conversation that you are currently having with the AI.
  3. Chat history. This section catalogues a list of your past conversations with the AI. ChatGPT will automatically name these conversations based on the content of what you have discussed with the AI. If you wish to rename them, hover over the name and then click the three dots which will reveal options to rename and archive that conversation.
  4. Search chat history. This function allows you to search through all of your past conversations at once, so that you can find all the conversations that relate to a specific topic. This can be super handy if you recall having a conversation about a certain topic, but you can't find it in your chat history.
  5. Explore GPTs. Custom GPTs are ready-to-go conversations with the AI that are already primed with context and background information. Once you initiate one of these custom GPTs, you'll be able to hit the ground running to get useful responses from the AI that may have otherwise taken a while to elicit in a normal conversation window.
  6. Settings. Settings contain a lot of useful features that are applicable to more advanced applications.

ChatGPT Keyboard Shortcuts

  1. Type / in chat to quickly choose tools
  2. Type @ in chat to call a recently used GPT
  3. Type Cmd/Ctrl + / to see a list of other keyboard shortcuts

  1. Starting new conversations
  2. Browsing the history of your past conversations
  3. Using some of the tools available in the conversation window
  4. Maybe even using a Custom GPT or two in your workflow

Having trouble getting access to your ChatGPT Edu account?

If you experience issues with ChatGPT Edu please use the OpenAI help portal.

You can use the chat at the bottom of the page to ask questions and connect with support by clicking on the Message tab.

If you are unable to resolve your issue through the help portal, then you should contact OpenAI support directly by email at support@OpenAI.com.

While we would like to be able to support you directly with ChatGPT Edu issues at the AI and ML Competency Centre, we have no capability to investigate or fix most issues within the ChatGPT Edu system itself.

If you would like support with advanced usage of ChatGPT Edu or support to develop tools that leverage ChatGPT Edu, then the AI Competency Centre would be really happy to help.
